Aizent Private Limited ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI voice assistant platform and related services.

1. Information We Collect

1.1 Information You Provide

  • Account information (name, email, organization name)
  • Billing and payment information
  • Communication preferences and support inquiries
  • Phone numbers and call configurations

1.2 Information Collected Automatically

  • Call logs, duration, and metadata
  • Voice recordings and transcripts of AI-assisted calls
  • Usage analytics and interaction patterns
  • Device information and browser data
  • IP addresses and geolocation data

1.3 Patient Data (Healthcare Clients)

  • Patient phone numbers and contact information
  • Appointment scheduling details
  • Clinical triage information collected during calls
  • EMR integration data as authorized by healthcare providers

1.4 Consent & the DPDP Act, 2023

Aizent Private Limited is the Data Fiduciaryfor the personal and health data processed through our voice platform, as defined under the Digital Personal Data Protection Act, 2023 ("DPDP Act").

For every call, our AI assistant gives a brief verbal notice at the start that the call may be recorded and processed to assist with the request, and that continuing on the call implies the caller's consent to such processing (consent purpose: voice_call_recording_and_processing). This consent is recorded against the caller in our consent register. Consent can be withdrawn at any time (see Section 6). We do not process personal data for any purpose beyond those disclosed.

2. How We Use Your Information

  • Provide, operate, and maintain our AI voice assistant services
  • Process and transcribe voice calls in real-time
  • Schedule appointments and integrate with EMR/POS systems
  • Improve AI model accuracy and language detection
  • Generate analytics and usage reports for dashboard users
  • Communicate service updates, maintenance, and support
  • Comply with legal obligations and enforce our terms

3. Data Sharing and Disclosure

We do not sell your personal information. We may share data only in the following circumstances:

Service Providers

Third-party vendors who assist in operating our platform (hosting, analytics, payment processing)

Healthcare Partners

EMR systems and clinical databases as explicitly authorized by healthcare organization clients

Legal Requirements

When required by law, regulation, or legal process, or to protect rights and safety

Business Transfers

In connection with a merger, acquisition, or sale of assets, with appropriate notice

4. Data Security

We implement industry-standard security measures to protect your data:

End-to-end TLS 1.3 encryption
Strict tenant isolation
PII masking and redaction
HIPAA compliance measures
DPDP Act (2023/2026) compliance
Regular security audits

5. Data Retention

We retain your data only as long as necessary to provide our services and comply with legal obligations:

Call recordings, transcripts & session reports90 days
Call logs (anonymized after retention)90 days

Withdrawn consent records180 days
Account and billing records (GST / tax)7 years
Audit logs (legal retention)3 years

Call recordings are automatically deleted from cloud storage (Google Cloud Storage, Mumbai region) after 90 days and their links are expired; summaries are cleared. An automated retention job purges expired personal data and writes to a retention audit log. Records we are legally required to keep (billing 7 years, audit logs 3 years) are retained and are exempt from erasure requests.

6. Your Rights

Under the DPDP Act, 2023, every individual whose data we process is a Data Principal and has the following rights, which you may exercise by writing to us at hello@aizent.in:

Access your personal data (right to confirmation & access)
Correct inaccurate or incomplete data
Request erasure / deletion of your data (right to be forgotten)
Export your data (portability)
Object to or restrict processing
Withdraw consent at any time
Nominate a representative for your data
Redressal through the DPDP Board or by contacting us

On an erasure request we permanently delete or anonymize your transcripts, call logs, sessions, consent records, and associated AI vectors. By law we retain billing history (7 years, for GST/tax) and audit logs (3 years), which are not deleted.

7. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such data, we will take steps to delete it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page with a revised "Last updated" date. We encourage you to review this policy periodically.
